Job Description

The Sales Administrator / Executive Assistant provides high quality administrative and project support to the VP Sales EMEA and regional sales and marketing leaders.

Duties and Responsibilities:

  • Proactively identifies and acts upon needs and solutions that support the productivity and success of the VP Sales and the sales department.
  • Manages and coordinates VP Sales diary, scheduling, travel and expenses.
  • Preparation and coordination of documentation, reports, presentations and other related materials for VP Sales forecast calls and reporting, client visits, internal meetings and sales meetings.
  • Plans and supports meetings and events in partnership with VP Sales and sales leaders including global / regional / team sales meetings.
  • Manages physical and virtual meeting logistics such as invites, teleconference, room set up, catering, and presentation assistance.
  • Manages logistics for key events (e.g. Frankfurt and London Book Fairs, ProQuest Customer Advisory Boards, etc.) including coordination and booking of travel and accommodations.
  • Administers Sales SharePoint and other sites that support the running of and communication within the department.

  • Participates in new hire onboarding and training processes.

  • Operates with strict confidence on sensitive matters.

Ideal Qualifications:

  • Post-18 qualification or higher plus a minimum of 3 years providing high quality administrative support to senior leadership.
  • Ability to oversee and support processes that assist the successful running of a sales department (i.e. client agreements, expense reporting, sales analysis and forecasting).
  • Strong corporate event and meeting planning skills and experience.
  • Strong organisation and prioritisation skills, with the ability to manage competing demands from multiple internal clients.
  • Polished, professional, assertive presence, with ability to interact with a diverse mix of personalities to positively represent the executive and foster collaboration.
  • Ability to understand key aspects of the sales organisation and wider business and analyse data and information that supports good decision-making.
  • Strong practical knowledge of Microsoft Office suite of products (Outlook, Excel, PowerPoint, Word and SharePoint) and Salesforce. Capacity to learn and use new technology, programs and systems specific to the sales department.
  • Ability to work independently and make sound business decisions.
  • Strong verbal and written communication skills.
  • Strong presentation design and editing skills.
  • Ability to maintain and safeguard confidential and sensitive information.

Ancillary Qualifications:

  • Experience in a similar or related industry and/or professional services environment.

  • Working knowledge of Oracle expense reporting.

Other important information about this position:

  • This position is based in the ProQuest Cambridge office with occasional travel required as necessary.
  • This position requires weekday (Monday - Friday) attendance with some scheduling flexibility available around core working hours. Occasional evening and weekend hours may be required to support business needs.
